FastBill integration: How to start and what kind of data is transferred?

To set up the synchronization of CentralStationCRM and FastBill, you must have a FastBill API key in addition to your FastBill login e-mail address. This will replace your password if we want to access the data in your FastBill account. We use the API key, so we do not have to store your password at any time in plaintext.

First, log in to your FastBill account and go to the Settings dialog at the top right corner. Select Settings.

The FastBill API Key is located at the bottom of the settings page. Copy the full key to the clipboard and then go to your CentralStationCRM.

Go to the People tab of your CentralStationCRM and select Import data in the right column. The FastBill import is available for connecting to other services.

There you will save the e-mail address which you are using to log on to FastBill and the previously copied FastBill API key.

Once you have set up the FastBill Integration, both the data you create on CentralStationCRM is written to your FastBill account, as well as data from your FastBill account to CentralStation. But when exactly what happens? What applications do we cover?

Actions on CentralStationCRM

- You create an offer in CRM

First, the company involved in the offer is written to FastBill if it does not already exist there. If it is an offer without a company, we transfer the first person in the offer. In the case of offers without person & company nothing is transferred.

We also use the offer data to create an offer at FastBill. You can therefore complete the offer directly after the creation in the CRM at FastBill and send it to your customer.

- You update a customer's data in CRM

We write the changes to FastBill and the data is there on the same stand. This applies only to the customers who are already "connected" to FastBill. This means new people & companies are not written to FastBill. The assumption behind this is that you will surely (unfortunately) not write each of your contacts offers & invoices. This means that you only synchronize the data for which you initially created an offer. In addition, companies that have been created directly at FastBill are synchronized.

Actions on FastBill

- You create a customer at FastBill

As soon as you create a customer at FastBill, it is automatically created in CentralStation.

- You create an offer or invoice to a FastBill customer

The documents of the offer or the invoice are automatically written to CentralStation and stored there additionally. We create a FastBill note on the side of the participating company.

- You change an offer or an invoice with FastBill

If the offer was initially created at CentralStation, we will write the document to the offer or invoice directly to the CRM offer page. If this is not the case, we write a FastBill note to the participating company and attach the document directly there.

In addition to these cases, you can initiate a complete sync when setting up the integration. This will transfer all your FastBill customers as well as the documented documents to CentralStationCRM. In addition, all CentralStationCRM companies will be transferred to FastBill with at least one offer.
